ClearStats provides a sales and marketing insight dashboard (the Sales Insight Engine at engine.clearstats.io) and the related automations we run for each client business. This policy explains what information we collect, how we use it, and the choices available to the people whose data we handle. It applies to the dashboard, to our client automations, and to the ClearStats YouTube Tracking application described below.
Who we are
ClearStats Ltd, United Kingdom. We act as a service provider to each client business. For a client’s sales, lead and customer records, the client is the data controller and ClearStats is the processor working under that client’s instructions.
Information we collect
Account information for dashboard users: name, work email address, role and organisation, so we can sign you in and show you only your organisation’s data.
Client business data that a client connects to the dashboard: leads, bookings, call outcomes, payments and marketing attribution, supplied by the client’s own systems.
Usage information needed to run the service securely: sign in events and error logs.
ClearStats YouTube Tracking and Google user data
ClearStats YouTube Tracking is an application we operate for a client who runs a YouTube channel. With the channel owner’s explicit permission, granted through Google sign in, the application:
reads public metadata of the videos on the connected channel: video id, title, publish date, thumbnail, view, like and comment counts;
reads the description of each of the channel’s own videos;
updates the description of the channel’s own long form videos by adding tracking parameters to a landing page link the channel owner already placed there, so that each lead can be attributed to the video it came from.
The application changes nothing else. It does not upload, delete or publish videos, does not read or post comments, does not read subscriber or viewer identities, and does not access any Google service other than YouTube Data for the connected channel.
Google user data obtained this way is used only to provide this attribution and reporting feature to the channel owner. It is shown to the channel owner’s own team inside their ClearStats dashboard. We do not sell it, do not use it for advertising, do not use it to train machine learning or artificial intelligence models, and do not share it with any third party except the infrastructure providers listed below who process it on our behalf.
ClearStats’ use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
How long we keep data
Video metadata, descriptions and counts for the connected channel are kept for as long as the channel owner is a ClearStats client, and deleted within 30 days of the end of the engagement or on request.
The Google access and refresh tokens that let the application act on the channel are stored encrypted in our automation platform and are deleted as soon as the owner disconnects the application or asks us to remove it.
Client business data is kept for the duration of the client engagement under the client’s instructions.
Where data is processed
We use the following providers to run the service, each under its own data processing terms: Supabase (database hosting), Vercel (dashboard hosting), n8n on a server we control (automation), and Slack (team notifications to the client’s own workspace). Data may be processed in the European Union, the United Kingdom and the United States.
Your choices
A channel owner can revoke the application’s access at any time from their Google Account permissions page (myaccount.google.com/permissions). Revoking stops all further access immediately.
Any person can ask what data we hold about them, ask for it to be corrected or deleted, or object to a use, by emailing tes@clearstats.io. We answer within 30 days.
Where ClearStats processes data for a client, we will refer your request to that client and help them respond.
Security
Access to the dashboard requires a verified email sign in. Each organisation’s data is isolated at the database level so one client can never see another client’s records. Credentials and tokens are stored encrypted and are never shared in plain text.
Changes to this policy
When we change this policy we update the date at the top of this page. Material changes affecting Google user data will be communicated to the connected channel owner before they take effect.
